Small Business Backup
I have a business with
1 or more PC's or MACs networked without a dedicated
server with data stored in various locations on 1
or more of the machines.
How can SME Backup help me
secure my business?
In some cases most data will be stored on a central
PC, acting as a server. Some specific data, such as
email or databases, may be on other local computers.
Other setups will have all data stored on local computers
(in Windows under My Documents) and local email folders.
In both cases SME Backup can help secure your data.
There is no extra cost, as with many other systems,
to backup files from multiple computers.
Once installed you select the files and folders to
be backed up either locally or over the "network",
set your schedule and make sure all computers being
backed up are switched on / left on at the time of
the scheduled backup.
If you do not like leaving your computers on, you
can let the system switch off when finished. This
will only work on the computer running the SME Backup
software. If you still require other computers to
be backed up and switched off you will need to either
have separate accounts for each or have a means to
copy the appropriate files onto the main computer
before leaving the office and manually switching them
off.
The software can also be run "on request"
by simply clicking on an icon located in the system
tray (beside the clock) and selecting to Backup and
Shutdown, Backup or Log Off. SME Backup will then
carry out a remote backup followed by the appropriate
shutdown, log off or other instruction.
As good business practice we recommend that you review
this if there are more than 2 computers as many advantages
can be had from storing centrally, even if the "acting
server" is also required to act as a user computer
on a day to day basis.
I use Outlook (Outlook Express)
- Can I backup my e-mails?
Yes - simply select the folder containing the .pst
(Outlook) or .dbf (Outlook Express) files to be backed
up. The same applies for other email clients such
as Thunderbird.
If you use Outlook based on Small Business Server or Exchange
Server you need to use the Server and Mail Agents available
with SME Backup.

Accounts - Can I back up this data?
Yes - you can backup any and all data stored on a
computer. It is good practice, highly recommended
by Sage, to run the Sage data check before backing
up. As Sage only allows this to happen from within
Sage we suggest you run the data check and backup
to a folder on the computer where SME Backup is installed.
This may be the same or a different folder to that
with Sage in it. From here you can select this folder
and backup the Sage backup files. You can also backup
the whole of your Sage system by backing up the ACCDATA
folders within your Sage installation as well as,
or instead of, the above method - BUT remember to
run your data check daily on all companies used that
day.
The same general rules apply to all accounts systems.
The manual, or your software vender, can help and,
what's more, if they e-mail us we will offer help
and advice whereever we can.
Can I get a file back
that I have accidentally deleted?
Yes - you can recover any or all files on the servers.
The time a deleted file is retained on the server
(Retention period) is controlled by you, the user.
It is set to 7 days initially but some companies increase
this allowing them to recover any file (deleted or
not) to the state it was in at any time during the
rentention period. Remember, the longer you keep deleted
files, the more storage you require on the server.
The Bottom Line
It is ultimately down to you, the user/system manager/business
owner, to ensure you have sufficient backups of the
appropriate data should you lose your computers or
data. We can advise but all businesses and computer
configurations are different and we strongly recommend,
if you are not fully clued into your system, that
you discuss your needs with a suitably qualified technical
person who understands your business and computer
configuration.
How much will it cost?
How long is a piece of string? - Costs are based on
the amount of storage space used on our servers. This
starts at £8.50 per month for 500MB and the
full price table can be seen on our price
list. For the small business, without a dedicated
server, you will generally only require to purchase
space. There is unlikely to be a requirement for any
add-ons and agents thus keeping the whole system very
simple. You will also be charged a one-off setup fee
as detailed in the price list.
If you want to increase or decrease the amount of
storage space you just need to request the amendment
by email. The system will warn when you are getting
close to your quota.
How do we pay for the service?
Payment is by direct debit. A direct debit form is
available from the download centre. The total monthly
fees due are collected on or after the 5th of the month
to which they apply. Any set up fees, amendments, or other
charges, will be collected with next monthly payment.
How long is the contract?
Unlike most of our competitors, we do NOT tie you in to any contract. All we ask is that you give us 30 days' notice of termination.
If for any reason you are not happy with the service, we ask that you first talk to us and we will endeavour to resolve any issues. In the unlikely event that that you are not satisfied with our resolution, or your circumstances have changed and you no longer require the service, you can cancel by giving us only 30 days' notice.
In a nutshell, if you are not happy, we have no desire to keep you tied down or to charge exorbitant release fees. Better to part as friends than as enemies leaving bitter taste.
